Title:                 Guest Services Associate
Reports to:      Operations & Office Administrator
Classification: Part-Time to Full-Time/Nonexempt ​
Pay:                  $14/hour plus benefits

Position Summary

The Guest Services Associate interacts closely with our families, ensuring that they are safe and comfortable and that they are delighted with their stay.  

Qualifications
  • Has a sense of responsibility and commitment to the Healthcare Hospitality House concept, and can effectively communicate its mission; 
  • Welcomes and embraces people from whom you are different; 
  • Is fiercely kind, compassionate and empathetic, and is hungry to learn and make the stars twinkle a bit brighter for others; 
  • Is an inspirational and aspirational team member;  
  • Has strong general office skills, and the ability to use and/or learn various computer programs (Excel, Word, PowerPoint, Publisher, etc) to create documents and track data pertinent to operations; 
  • Is able to quickly learn and adapt to new computer programs specific to nonprofit and hospitality organizations; 
  • Is able to accurately follow instructions, both verbal and written; 
  • Is able to manage emotionally stressful events and crises; 
  • Has excellent verbal and written communication skills, with a good command of the English language, to include speaking, writing and understanding; Bi-lingual skills are a plus; and 
  • Is detail oriented with the ability to successfully multi-task 

Duties and Responsibilities 
  • Is the face of Grace, embracing guests, volunteers, visitors and co-workers with Grace’s core values of Faith, Love, Service and Family; Abides by the Covenant of Grace, attached; 
  • Creates and oversees weekend breakfast service for guests; 
  • Creates and oversees dinner service for guests; 
  • Accurately processes guest check-outs and check-ins; provides a warm welcome to all and introduction to Grace for new guests; 
  • Ensures rooms are thoroughly cleaned and ready for incoming guests at the time of arrival; 
  • Confirms volunteer meals in advance and assists with distribution as necessary; 
  • Confirms volunteer shuttle van drivers and arranges for a driver on short notice as the need arises; 
  • Anticipates guest needs and exceeds expectations; 
  • Answers questions and resolves possible satisfaction concerns of guests in a caring, concerned and prompt manner, even if in the process of completing other duties; 
  • Demonstrates excellent customer service at all times;  
  • Ensures guidelines are followed by families and infractions are documented and reported to the supervisor; and 
  • Provides emotional support for guest families by being accessible and empathetic.

  • Organization Responsibilities 
  • Demonstrates awareness of the mission of Grace Guest House and its philosophy in all relations with staff, guest families, visitors and other professionals; 
  • Adheres to organization policies and procedures;  
  • Is willing to work in an interdisciplinary team-oriented environment;
  • Arrives to work on time, notifying the supervisor when arriving late;
  • Maintains all appropriate documentation; 
  • Manages time effectively as demonstrated by adherence to scheduled work hours; completes reports, written requests for information and responds timely to phone calls and emails; 
  • Identifies issues and makes recommendations for improving services for families served; 
  • Promotes a positive personal and professional image which includes dressing as required; 
  • Promotes a positive image of the organization in dealing with outside contacts; 
  • Demonstrates leadership within the organization; and 
  • Assumes other duties and responsibilities as assigned by the supervisor or Executive Director.
